How to make a travel quotation in 2 minutes (that customers actually say yes to)
A simple 5-step system Indian travel agents use to send faster, clearer quotations on WhatsApp – and win more bookings.

When a customer asks for a Kashmir package on WhatsApp, the agent who replies first with a clear quotation usually wins. Yet most agencies still spend 45 minutes to an hour on every quote: copying old Word files, checking hotel rates on the phone and calculating margins on a calculator.
Here is the system we see the fastest agents use.
1. Build a rate library once
Put your regular hotels, cabs, activities and their net rates in one place – by destination and season. When the next Goa enquiry comes, you pick from the list instead of searching old chats.
Tip: keep the net rate and your selling price separate. Your sales staff should see only the selling price.
2. Start from a template, not a blank page
Most of your trips are variations of 10–15 packages: Kashmir 5N/6D, Goa 3N/4D, Dubai 4N/5D. Save these as templates with a day-wise itinerary and photos. A new quote is then just "change dates, change hotel, change pax".
3. Show options instead of asking questions
Instead of five messages asking about budget, send one quotation with two or three hotel options side by side (standard, deluxe, premium). The customer chooses – and you learn their budget without asking.
4. Make the price clear
Customers hate surprises. Show:
- the total package price and per-person price,
- what is included and excluded,
- GST (5% on packages, or 18% on the service fee if you bill that way),
- the advance needed to confirm.
5. Share a link, then follow up
A link that opens on the phone looks far more professional than a forwarded PDF. Even better, you can see when the customer opened it – call them while they are looking at it.
